    Description:

    The Customer Service Specialist provides assistance to internal and external customers, ensuring that quotes, sales orders, shipments to customers, returns and warranty replacement orders are entered accurately and in a timely manner.

    Responsibilities & Qualifications

    • Answers customer and technical sales representative’s questions about price, quotations, orders, returns, etc. via e-mail and phone in a timely fashion
    • Determines whether or not customer is subject to sales tax and ensures sales tax law compliance
    • Performs commercial credit checks on new and existing customers.
    • After analysis and careful evaluation of customer credit worthiness, assigns the appropriate credit limit and payment terms (NET 30, YAPM, cash in advance), according internal procedures
    • Processes requests for quotation from Technical Sales Representatives through CRM and from sources outside the company via fax, voice, and email, expeditiously, making sure the discounts offered have been approved by the appropriate authority, according to corporate policy
    • Closes the opportunity in CRM immediately after receiving a purchase order from customer and transfers all pertinent notes from the opportunity into the purchase order Assigns tasks to sales representatives, product specialists and service department, according to the products and services purchased
    • Processes orders received from customers in ERP (SAP module) in accordance with corporate group standards and confirms the price and availability of parts to ensure the information provided to customers is 100% accurate
    • Selects the appropriate method of shipment for instruments and parts (Ground, Airfreight, and Courier) according to customer needs
    • Sends order confirmations to customers after the receipt of a shipping date from material management (MM) and enters orders for parts without involving MM when the stock shows a quantity higher than one (1).
    • Issues picking lists to be further processed by the warehouse
    • Creates delivery notes and verifies that the commission has been assigned to the correct sales representative(s) according to corporate policy before creating invoices in SAP
    • Creates corporate accounts in CRM as needed to ensure different billing and/or shipping addresses for the same company have their own customer number and ensures the accuracy of information in SAP and CRM
    • Updates customer name changes and properly records the type of business entity (Corporation, Partnership, LLC, etc.) and checks that the name on the tax exemption on file matches the company name
    • Provides freight quotes and includes shipping charges in proforma invoices for customers that are required to pay in advance
    • Follows up with customers periodically to promote receipt of advance payment
    • Carefully examines purchase orders and applies appropriate surcharge when special terms have been negotiated
    • Processes customer returns, warranty replacement orders and customer credits in coordination with the Customer Service Manager, Materials Manager and financial group.
    • Associate Degree in any field or at least 3 years of experience in a customer service role
    • Must have the ability to work with patience and courtesy in customer relations
    • Must have the ability to communicate effectively, both verbally an in writing
    • Ability to think quickly and logically to ensure expedient response to customer inquiries
    • Must have excellent time management and strong organizational skills

    • Ability to handle multiple tasks
